Job Description Provide day to day administrative support to the project management / billable work team, ensuring that all operations, procedures, and processes are carried out to the required standards and always ensuring effective project administrative support at all times. Health & Safety Ensure compliance with our Clients and their client s SSOW, H&S policy and procedures. Highlight potential failings to appropriate line management. General Operations Support the projects teams ensuring that all three billable work trackers for SDA19, SDA29 & SDA30 are maintained, accurate and fully up to date. Logging all new billable works and tracking through from To Be Quoted to Signed Off Issue weekly reports to project managers for progress updates, updating the tracker as necessary Collate and issue completion pack to Vivo PM following completion of the works Chase for any outstanding signed completion forms to ensure we maximise our monthly application Ensuring that documents are stored in the correct folders Ensure all telephone calls are answered and dealt with in an efficient and competent manner Actively participate in a diverse and effective team attend team meetings and partake in discussions Perform with an understanding of business requirements and changes, ensuring continuous improvement Provide formal reports to our clients Management and their client as and when required Procurement Provide support to the team in procurement activities such as tender processes, supplier relationships and contract management for goods and services. Build, maintain and manage supplier relationships and keep up good communications and service levels Client Focus Providing excellent customer service, by managing client expectations and ensuring information is communicated between the team and customers. Liaise with client s projects/delivery team to escalate any queries with received works. Follow-up status of high priority works-in-progress and ensure the customer contact is fully informed. Qualifications Expected Must be IT literate and be able to communicate well both verbally and in writing. Excellent PC based skills, with experience in Word/Excel. Ability to work under pressure and meet deadlines. Positive approach, resilient, determined and goal oriented. Professional behaviour, reflecting the highest standards of integrity, quality, customer service and health and safety. Must demonstrate a strong sense of customer focus. Self-motivated and systematic. Ability to work as part of a team, as well as independently. Results/ task orientated, attention to detail and accuracy. Excellent time management and organisational skills. Commitment to continuous improvement. Desired Experience of and a good understanding of information management systems / databases. (CAFM systems) Reliable Committed to customer service delivery Confidential and discrete approach. Smart appearance. Be flexible to work outside of core office hours from time to time.
