Office Assistant/Document Controller

A fantastic opportunity has arisen for a growing, immensely successful company.

They are looking for someone who would like to secure an integral role in an office - and you will need at least 6 months office experience

Role Purpose:

Reporting into the Business Information Manager, and also working closely with the Business Support Manager, you will be responsible for supporting our document control processes and delivering a wide range of other general administrative tasks to ensure the smooth operation of our business.

This role requires a high level of collaboration and engagement with internal colleagues, at all levels of seniority, in order to achieve deadlines.

Key Accountabilities/Responsibilities:

  • Support our document control process by generating document numbers, cross checking documentation against correct content, receiving and logging incoming drawings and updating registers.

  • Providing administration support to the design teams

  • Support the preparation of Tender and Contract documents as required

  • Prepare other documents as needed eg Word, Excel, Powerpoint

  • Gather and collate project and other information as requested, including reports from Float

  • Support the Business Support Manager with admin tasks related to HR including arranging employee appraisals, employee travel and helping with onboarding set ups and arranging IT Equipment

  • Provide general 'office management' tasks to support the smooth running of our London office, including looking after office equipment, opening and distributing post, receiving visitors and answering calls and taking messages for staff

  • Scan, photocopy and file documents (electronic and manual files)

  • Arrange meetings by reserving rooms and securing refreshments

  • Manage office supplies, including stationary items and refreshments

  • Helping with office Health & Safety matters as needed eg coordinating fire drills, first aid kits including acting as a Fire warden when requested

  • Organising Team events

Prior Experience, Skills, Knowledge required

  • Document control experience desirable. Alternatively, experience working in a 'document' type role eg legal or contract environment.

  • Excellent A levels results (or equivalent)
