The Tender Coordinator provides support to Tender Management on Integrated Product and complex system tender opportunities from receipt of the ITT to handover to project execution. The incumbent will demonstrate due diligence, attention to detail and collaboration in coordinating the generation of the submission documentation issued to the customer.
This role will serve as a focal point for the team in the management of internal information and of processes such as ITT review, tender bulletins, clarification management, tender submission contents, etc. The Tender Coordinator will also take full responsibility and ownership of leading customer Requests for Information (RFI's) and Pre-Qualification Questionnaires (PQQs). Key roles and responsibilities include:
- Provides support to Tender Management on integrated product and complex systems tenders.
- Undertakes responsibility and ownership of leading Requests for Information or Pre-Qualification Questionnaires.
- Undertakes responsibility and ownership of leading smaller value product only opportunities.A
- Accepting, reviewing and distributing clients Invitation To Tender (ITT) and coordinating the development, structure, format and content of the final tender deliverables in compliance with OneSubsea's mandatory processes and procedures and in accordance with the customer's instructions. Duties may include; Issue Enquiry Notification Form, Prepare Tender Contacts Listing, - Prepare and issue Minutes of Meeting (Kick Off meeting, Clarification meetings, etc.), Prepare and issue Request for Information (RFIs) to internal and external departments, Prepare and maintain ITT Review Register, Prepare and maintain tender clarification register and directories, Prepare Tender Contents List.A
- Issue the Scope of Work/Scope of Supply (SOS) document template and ensure the SOS document is completed by the relevant personnel in accordance with instructions and within the deadlines of the tender activity plan.
- Coordinate the development and compilation of the final tender document
- Takes responsibility for ensuring the clients requirements/questions are addressed and that the completed tender is issued as prescribed and to a deadline.
- For those opportunities where the Tender Coordinator is lead, ensuring approvals are in place as per the Tendering Gated Approval process.

Minimum Job Qualifications
Sound understanding and proven ability in Word, Excel, PowerPoint, Microsoft Project and Adobe Acrobat.Excellent process management and organisational skills with the ability to multi task. Focused and diligent individual who has excellent attention for detail to ensure consistency and accuracy.Proven and well developed interpersonal, influencing and communication skills.Ability to work under pressure and to strict deadlines.
